Best of Breed Approach
Following the Queensland council amalgamations in 2008, Charters Towers were the first newly created council to choose AusFleet to manage their fleet.
PCS, a popular finance system had been used to manage council's diverse fleet of 900 items. However, the special requirements of fleet management meant a continued need to create spreadsheets for some functions. Having to run multiple databases with the inherent duplication of data, manual entry and lack of interfaces meant it was impossible to analyse and manage the fleet to the professional standard required by Ajith Samarasekera, Manager Fleet Services.
Ajith and his team quickly realised they needed a specialised fleet system to fill the gaps.
“I wanted a system that automated tasks such as workshop transactions, assisted with planning and scheduling maintenance and provided easy access to fleet information. Most importantly, I needed to improve accountability of fleet management”, Ajith said.
Ajith’s team now use AusFleet daily for recording comprehensive fleet information for every asset - light, heavy & small – producing reports such as utilisation, fuel consumption and maintenance backlog, maintaining accurate odometer readings for scheduling services & retirement, accessing a detailed maintenance history for each item and lots more.
“AusFleet clearly meets the needs of a fleet manager in terms of the comprehensive data it can record and when combined with other features such as the detailed maintenance history, flexible scheduling, audit trail and suchlike, it has allowed me to comply with the WH&S QLD Plant Code of Practice 2005."
“Small things like the reduction in paperwork makes life easier while contributing to council's green credentials and we are now far more efficient in our processes - fuel processing and accountability for example."
“When compared to other systems, we found it to be a very cost-effective, value for money package, particularly in light of the service provided.”
“AusFleet staff are very helpful and cooperative and the on-site training was a huge advantage. After deployment Carlos (Account Manager) was more than happy to answer our questions."
“It felt as if it was important to AusFleet that I was happy with my purchase, which I am! Three years down the track and I still get very good service, with most difficulties resolved promptly and effectively.”
