1. Does AusFleet provide
replacement budget
forecasting?
Yes, for periods up to 20
years, with configurable
parameters for each year. It
also allows you to create
different scenarios for
assessing best and worst
case scenarios on resale
values and new car prices,
for example. Scenarios can
be saved as private or
public and reworked as
required.
2. Can I use my existing,
internal fleet reference
numbers?
Yes, AusFleet will use your
own item reference numbers
if you wish. Reference codes
may be alpha, numeric or
alpha-numeric.
3. How often is the software
updated?
There are usually two
update releases each year
with major upgrades
occurring every 2-3 years
depending on the scale of
development undertaken. These
updates can include new
functionality or cosmetics,
changes requested by users
or developments required to
adapt to external changes,
such as the Fuel Tax Credit
Scheme.
4. Which fuel systems will
it interface to?
All major fuel cards and
electronic bowsers, plus
AusFleet can handle cash
purchases.
When importing fuel files,
transactions are validated
up to 17 times. For
suspended transactions,
AusFleet indicates the error
and a suggested course of
action.
As with all costs, AusFleet
accrues fuel expenses
against the fleet item for
invoicing, reporting and/or
interfacing to a finance
system.
Fuel module also provides
approximate
CO2 emissions
based on fuel type and
quantity.
5. Can AusFleet manage pool
vehicles?
Yes. The Hire module
provides a comprehensive and
highly configurable pool car
management and charging
system.
It can be used as a
standalone administrative
module or, linked to
Aus-e-Fleet on-line booking
module, allow drivers to
book vehicles remotely and
in seconds.
Used without online
bookings,
the Hire module can be used
by an administrator who
makes bookings directly into
AusFleet. Confirmation
e-mails are automatically
generated and sent, the
visual calendar is updated
and charges accrue and are
invoiced periodically or
immediately.
The zoom-able calendar is
augmented by a transaction
view. Logs entry, a flexible
charge-rate methodology and
reports such as hire
utilisation all help to make
it appropriate for a wide
range of organisations.
6.What type of assets can
AusFleet manage?
AusFleet can manage light
vehicles, heavy plant and small
items such as brush cutters,
chainsaws and whipper-snippers.
Current clients manage toilet
blocks, playgrounds, trailers,
compressors, tow bars and small
tools as well as the more
standard fleet items.

8. Can the screens be tailored
to each user?
Yes. Users may choose
different screen
configurations, including a
selection of key data fields
displayed on several navigator
screens.
9. What database is required?
AusFleet uses Microsoft MS SQL
as the default database due to
its popularity, robustness, cost
effectiveness and management
tools. Check
the
Technical
page for more details.
10. Will it assess FBT?
Aus-e-Fleet FBT calculates
taxable value, reportable
benefit and FBT payable, using
statutory and operating cost
methods on a driver and vehicle
basis.
It can take into account
employee contributions, pool car
use and non-business related
accessories.
The
module provides a forecast end
of year assessment based on the
information available at the
time, and highlights those
vehicles which are under the
target kilometres set for that
item so that action can be taken
to increase utilisation and thus
reduce FBT liability.
To simplify FBT
reporting, logs entry facilities
are provided in the fleet and
hire modules, plus on-line logs
entry is available as part of
the Aus-e-Fleet suite of
browser-based, add-on modules.
This can be invaluable where the
fleet department serves many
customers, either internal or
external, all of whom are
required to submit logs.
11. How much does AusFleet cost?
This
depends on several factors including
the modules required, nature of
installation and number of
concurrent users. For this reason
it’s impossible to provide a typical
figure as installations have ranged
from under $20,000 to over $100,000.
Our packages include
licensing, installation,
configuration, on-site training,
project management, electronic user
manual and warranty.
AusFleet is supported for the
first year at no additional cost.
Annual
support options are available for
further years and provide regular
updates, maintenance, discounts on
tailored developments, client
management and ongoing training
among other advantages, giving you
ongoing service and latest versions
year after year.

12. What is the minimum fleet size
appropriate for AusFleet?
It's
less about the fleet size than the
fleet value. Our clients range from
having fewer than ten to several
thousand items all see a benefit
from running AusFleet. You need to
ask yourself:
Do you wish to retain control of
your valuable assets?
Will
your investment in professionally
managing your fleet, with the
resource advantages that automation
offers, be worthwhile?
Will it allow you and your
staff to do more productive work?
Do you need to meet health and
safety and audit requirements?
Do you need a secure process to
replace your old card system?
Will better management of
your workshop, FBT and disposals
provide a return on your investment?
Do you
wish to accrue fleet costs and
report and/or invoice them?
If you answer "yes" to these
types of questions, then you should
probably consider AusFleet.

14. Is it user installed?
No, we install remotely
where possible, in liaison
with your nominated
technical representatives.
We include on-site
training for all new clients
and assist with data
migration if required.
During the period immediately
after deployment, we provide
priority support to help in
bedding down the system and to
help users become familiar with
their new fleet software.
We’re also on hand
afterwards to answer any “How do
I?” questions.
15. Can I store documents such
as driving licenses and crash
photos?
Yes. AusFleet’s Documents module
allows any file format to be
saved and recovered. It includes
document description, tags,
unlimited relationships to fleet
items, personnel, parts or
suppliers and three security
settings for each file.
16. Will it interface to my
finance system?
Yes. AusFleet interfaces have
been designed for Technology
One, Civica Authority, Fujitsu,
Mincom, SAP, PeopleSoft, PCS,
Chris 21 and others.
Interfacing avoids
double data entry while
maintaining data integrity and
appropriate access.
17. Can I control access by
different users?
Yes, AusFleet has a
comprehensive rights/groups
facility to offer individual
users no access, read only
access or read/write access to
modules, screens, functionality,
reports and in some cases
individual field level.
Some modules also
have parameters to control who
may approve parts issues or
completed work, for example.
18. Does AusFleet provide an
audit trail?
AusFleet System module records
all major transaction changes
such as job deletions, plate
transfers, financial period
updates, disposals, parts
transfers etc. It records, time,
date, module, change details,
user ID and computer ID. Plus,
the SQL manager records every
change made to the database.
19. Can I create my own reports
or do I have to ask AusFleet to
do it for me?
Our team would be happy to
create specific reports for you,
but we also invite you to create
your own, if required. We
believe the data belongs to you,
so you may use our sample data
extract tool, AusReport, our
professional graphical report
builder, Analytics or any other
third party tool of your choice
to interrogate
the database.
20. Can I schedule services
through AusFleet?
Yes, the Maintenance and
Workshop modules have
comprehensive options for
service scheduling and repair
management. Scheduling is based
on odometer/hour meter and/or
time. Full workshop
functionality provides automatic
generation of job cards with
requirement and parts allocated,
timesheets, sublets, transport,
cost accrual, links to inventory
etc.
AusFleet’s Service Matrix
also manages warranty services
and allows you to view a service
history on screen, including any
missed services, just like the
manufacturers handbook.
AusFleet can automatically
allocate requirements and parts
to each job, based on regimes
and sequence and the costs,
including sublets and personnel
time recorded in timesheets,
accrues to the job.
The
entire repair and maintenance
history for each item is
retained even after disposal and
each individual job can be
viewed in its original form.
21. Is AusFleet installed on my server or AusFleet's?
AusFleet can be hosted either on
your own server or alternatively
we are happy to host it for you
and deploy via the internet
using thin client technology.

How does my existing fleet data get
transferred into AusFleet?
AusFleet ensures no data is lost
during deployment and all your
fleet information
is transferred accurately to
ensure minimum downtime and ease
of transition. During deployment
your data is transferred into a
holding spreadsheet where the
data is analysed and converted
in preparation for importing.
Once the data and fields are
consistent with AusFleet and
conversion is complete the data
is imported into the AusFleet
system.
